Seated Events

A seated event sells tickets against a venue's seat map. Buyers see the layout, pick specific seats or general-admission zones, and pay the price of the ticket type assigned to that part of the map.

This guide covers attaching a published seat map to an event and assigning ticket types to seats and GA areas. For designing the seat map itself, see Seat Maps.

Prerequisites

Before you can run a seated event, you need:

  1. At least one published seat map in the organization (create one)
  2. The ticket types you want to sell on the event (create them)

Creating a Seated Event

  1. Go to the Events page and click New event
  2. Select Seated as the event type
  3. Pick a published seat map design to attach to the event
  4. Fill in the remaining details (name, description, URL, date/time, location)

When the event is created, an inventory record is set up for every element on the seat map — one per seat, one per GA area. These records track what is for sale, sold, and held.

The attached seat map design cannot be swapped once tickets have been reserved or sold.

The Seating Page

To configure what each seat or GA area sells:

  1. Open the event from the dashboard
  2. Click Seating in the event sidebar

The Seating page shows your seat map with a side inspector. Click any element to manage its allocations.

Allocations

An allocation pairs an element with a ticket type and reserves a slice of that element's capacity for that ticket type. Allocations are how a seat map turns into sellable inventory.

  • A seat has capacity 1. Each allocation on a seat has capacity 1.
  • A GA area has the capacity defined on the seat map design. You can split that capacity across several allocations (e.g. 30 Adult + 20 Student on a 50-capacity area).

The same element can have multiple allocations with different ticket types. On a seat, that means the buyer can pick which ticket type to use (Adult or Student, for example) — whoever buys it first claims the seat. On a GA area, the allocations split the area's total capacity by ticket type.

Pricing

Allocations do not carry their own price — the ticket type's price is what the buyer pays. To offer the same seat at two different prices, create two ticket types and add one allocation per ticket type to the seat.

Adding an Allocation

Select an element on the seating canvas, then in the inspector:

  1. Open the Add allocation form
  2. Pick a Ticket type
  3. For GA areas, enter a Capacity (for seats this is fixed at 1)
  4. Confirm

Repeat for each ticket type you want to sell on that element. To configure many elements at once, Shift-click or box-select multiple elements and use Capacity per element in the bulk inspector.

Editing and Removing

Each allocation row shows its current capacity and a live count of how many are sold and held by buyers in checkout.

  • Capacity can be increased anytime. It can be decreased only to a value that is still at least sold + held — you cannot shrink an allocation below the tickets already committed against it.
  • For sale toggles whether the allocation is currently sellable without changing its capacity. Use this to temporarily pause sales for a ticket type on an element.
  • Removing an allocation is only allowed when it has zero sold and zero held tickets. Otherwise the existing buyers would lose their assignment.

The same rules apply to the bulk actions for multi-element selections.

The Buyer's View

On the public event shop, buyers see the seat map themed with your event's colours.

  • Clicking a seat opens a small popover with the ticket types available on that seat. Buyers pick one and the seat enters their basket.
  • Clicking a GA area shows the ticket types available on that area with a quantity picker per ticket type.

Holds are real-time: when another buyer reserves a seat, every other viewer's seat map updates immediately so they don't try to buy the same seat. Held seats are released automatically if the buyer abandons checkout.

Publishing the Event

A seated event publishes the same way as any other event — from the Publish tab in event settings. Make sure every element on the seat map has at least one allocation before publishing, otherwise parts of the venue will appear unsellable to buyers.

Next Steps

After setting up your seated event, you may want to:

  1. Set up ticket types — these are what allocations draw from
  2. Configure event branding — the colours used by the shop seat map come from your event styling
  3. Create promo codes for discounts on seated ticket types
